Storage Locations

Map out where your equipment lives — from stations down to individual compartments.

Storage Locations describe the physical places where your gear is kept. Like categories, they can nest under one another, so you can build a hierarchy that matches your real buildings: a station containing rooms, rooms containing cabinets, cabinets containing shelves. Each location has a name, an optional description, a type, and an optional parent. From this screen you can add, edit, and delete locations, and everything saves and sends up automatically.

Overview​

The header reads Storage Locations. Each location appears as a card with these lines and two round buttons in the bottom-right corner.

The three-dot button at the top right holds a single menu choice: Add Location.

Getting Here​

  1. Open the Account tab and tap the Inventory module.
  2. On the Inventory landing screen, tap Storage Locations.
  3. The screen opens with the header Storage Locations and a card for each one.
  4. Tap the Back arrow to return to the Inventory landing screen.

An agency administrator can also reach this screen from Agency Settings → Inventory → Storage Locations.

Adding a Location​

  1. Tap the three-dot menu at the top right and choose Add Location. The New Location screen opens.
  2. Enter a name in the Location Name field. This is the only required field — leaving it blank brings up "Please enter a location name." when you try to save.
  3. Optionally add a Description.
  4. Tap the Type field to choose one of station, room, cabinet, shelf, or compartment. Until you pick one, the button reads Select.
  5. Tap the parent selector to nest this location inside another. The list starts with None, followed by every existing location. Leave it on None for a top-level place.
  6. Tap Save. The new location appears in the list and becomes available to pick when adding items.

The header reads New Location when adding and Edit Location when editing.

Location types​

The five types are labels that describe the scale of the place. They are not enforced — the app will let you put a station inside a shelf — so use them the way they read naturally.

tip

Build your locations from the largest to the smallest — create the station first, then add rooms, cabinets, and shelves under it. This way the parent selector already shows the right choice each time you add the next level down.

Editing a Location​

  1. Find the location and tap its blue pencil (Edit) button.
  2. The Edit Location screen opens with the name, description, type, and parent already filled in.
  3. Update any fields you need. The location you are editing is automatically left out of the parent list, so it cannot be set as its own parent.
  4. Tap Save. A brief "Location updated" message appears and you return to the list.

If you tap Back with unsaved changes, the app asks "Data Updated — Do you want to save changes?":

Deleting a Location​

  1. Find the location and tap its red trash (Delete) button.
  2. A confirmation appears titled Delete with the message "Are you sure you want to delete this location?"
  3. Tap Delete to remove it, or Cancel to keep it.
  4. The location disappears from the list. Offline deletions are queued and send when you reconnect.
caution

Deleting a location does not delete the items stored there — it just leaves them without a place on record. On the Items list their Location : line falls back to whatever Location Details text they carry, or goes blank. Re-file them before or after the cleanup.

Saving Online and Offline​

A location with no description, no parent, or no type still shows those lines, blank after the label. The Items : count comes from the server, so a location you just created offline reads 0 until it has synced.

How This Connects​

  • Where the data comes from. Storage locations live on your agency's server and are kept in a saved copy on your device, which is what lets this list appear instantly and work offline.
  • What updates it. Saves on this screen, saves by a teammate, and edits an agency administrator makes in Agency Settings → Inventory → Storage Locations. The Items : count is calculated on the server from your item records — you cannot type it in.
  • Locations feed the item form. Every location you create here appears in the Storage Location dropdown on the Items form, with -- None -- at the top of the list. They arrive in the same combined request that loads items, categories, manufacturers, templates, and vehicles.
  • Locations show on item details. The Storage Location Name line on the Item Details page in Browse Items comes from the record you keep here.
  • Location versus Location Details versus Vehicle. A Storage Location is a place your agency has defined. Location Details is free text on the item for a bin or slot number too specific to be worth its own record. Vehicle means the gear travels with a unit rather than sitting in a building. An item can carry all three.
  • Browse organizes by category, not place. Browse Items walks the category and container tree. To see what is stored somewhere, scan the Location : line on the Items list.
  • Beyond Inventory. A station address your agency keeps on its profile can be opened in maps from Agency Profile or Map Location; the storage locations here describe the places inside those buildings.
  • Offline and reconnect. New and edited locations appear in the list straight away and are queued. The queue drains when you reconnect, when you reopen this screen, and right after a save. A nested location is held back until its parent has reached the server, and an item is held back until the location it points at has synced.

Troubleshooting​

"Missing organization." appearsThe app has lost track of your current agency. Close and reopen the app, then try again.
The Type button still reads SelectType is optional, so the app saves without it. Tap the field and pick one if you want it on the card.
The parent list does not offer the location you wantYou cannot set a location as its own parent, so it is left out. Pick a different one.
A new location is not in the Storage Location dropdown on the item formThe dropdown is filled in when the form opens. Tap Back and open the form again.
Items : shows 0 for a location you know holds gearThe count comes from the server. Items added offline are counted once they sync and the list refreshes.
Item cards show a bin number instead of a place nameThose items have no Storage Location set, so the card falls back to Location Details. Edit them on Items.
A location you deleted keeps coming backThe deletion may have failed on the server. Go online, reopen this screen so the queue sends, and watch for an error alert.
A teammate's new location is missingGo online and reopen the screen. Server changes arrive on refresh.
Your hierarchy came out in the wrong orderEdit each location and set the correct parent. Working largest to smallest avoids this.
