RSVP to a Meeting
Let others know whether you plan to attend a meeting.
Replying to a meeting takes one tap. A small pop-up appears with your two possible answers and a way out, your choice is saved against the meeting, and the Conferences list reloads so your row shows the new status. You can change your answer as often as you need — the latest reply is the one that counts.

Overview
| Option | What it does |
|---|---|
| Attending | Records that you plan to join this meeting |
| Not Attending | Records that you will not join this meeting |
| Cancel | Closes the pop-up and leaves your existing reply untouched |
| What you should know | Detail |
|---|---|
| Where it applies | The pop-up is tied to the exact meeting whose RSVP button you tapped |
| What happens next | Your answer is saved, then the whole meeting list is reloaded |
| What the row shows | Attending, Not Attending, or No Reply before you answer |
| Changing your mind | Tap RSVP again and pick the other option |
| Card size | The pop-up re-fits itself for phones, tablets, and rotation, so it is always readable |
Replying is not the same as joining. Marking yourself Attending does not reserve anything or open the call, and marking yourself Not Attending does not stop you from joining later if plans change.
Getting Here
- Open the app and go to Home.
- Open Conferences.
- Find the meeting you want to answer.
- Tap its RSVP button. The pop-up opens over the list.
Be careful to tap RSVP rather than the row itself — tapping the row tries to join the meeting.
Marking Yourself as Attending
- Open the pop-up from the meeting's RSVP button.
- Tap Attending.
- The pop-up closes immediately and your answer is sent.
- A loading indicator appears while it saves, then the list reloads and the row reads Attending.

Marking Yourself as Not Attending
- Open the pop-up from the meeting's RSVP button.
- Tap Not Attending.
- The pop-up closes and your answer is sent.
- Once it saves, the list reloads and the row reads Not Attending.

Answering Not Attending early is more useful to an organizer than leaving the row at No Reply, because No Reply does not tell them whether you have seen the meeting at all.
Closing Without Responding
- Open the pop-up from the meeting's RSVP button.
- Tap Cancel.
- The pop-up closes with nothing sent and nothing changed. A previous answer stays as it was, and an unanswered meeting stays at No Reply.

Changing Your Reply
- Tap RSVP on the same meeting again.
- Choose the other option.
- The list reloads and the row shows your new answer.
There is no separate "clear my reply" option: once you have answered, the row shows Attending or Not Attending rather than going back to No Reply.
How Your Reply Appears in the List
Your answer is shown on the meeting row itself, in plain words.
| Row shows | What it means |
|---|---|
| No Reply | You have not answered this meeting yet |
| Attending | You chose Attending |
| Not Attending | You chose Not Attending |
| What you should know | Detail |
|---|---|
| Whose reply is shown | Only yours — other people's answers are not listed on the row |
| When it updates | After the save succeeds and the list reloads, not at the moment you tap |
| If the save fails | The row keeps its previous value, so a row still reading No Reply means the reply did not land |
| Replying twice | The most recent answer replaces the earlier one |
Replying to Several Meetings
- Work down the list one meeting at a time.
- Tap RSVP, choose an answer, and wait for the list to reload before moving on.
- The reload keeps your place in the list, so you can carry straight on to the next meeting.
- Check each row's status text as you go, rather than assuming the reply landed.
Reply while you still have a good connection — at the start of a shift rather than on the road. Each reply needs a round trip to the server, and a failed one silently leaves the row unchanged.
What the Pop-Up Does Not Do
| You might expect | Reality |
|---|---|
| A "maybe" or tentative option | Only Attending and Not Attending are offered |
| A comment or note with your reply | None; there is no text field |
| A list of who else replied | Not shown here or on the row |
| A way to clear your reply | None; you can only switch between the two answers |
| A reminder or notification setting | Not part of this pop-up |
| Joining the meeting | Replying never opens the call; tap the row to join |
How This Connects
- Where your reply is stored. Your answer is recorded against the meeting itself, alongside the other invitees' answers, so the organizer and anyone else with access to the meeting see it. It is not a local note on your device.
- Why the list reloads. The row's status text comes from the meeting record, not from what you just tapped, so the app reloads the whole list after a successful save. That reload is also why other people's replies and any edits to the meeting appear at the same moment. See Conferences.
- Who can reply. Replies belong to invitees, and the invite list is set on the meeting form from your agency contacts — see Create a Meeting and Directory.
- Separate from joining. The 10-minute join window and the This meeting has not started yet alert are described in Conferences and are not affected by your reply.
- Separate from the calendar. An RSVP here does not change anything in Calendar; a meeting that also needs to appear on the shared schedule is added there separately.
- Offline and reconnect. Saving a reply needs a connection. With no signal the save fails with an alert and the row keeps its old value, so reopen the meeting list once you are back on a connection and reply again.
Troubleshooting
| If this happens | What to do |
|---|---|
| The row still reads No Reply | The save did not complete. Check your connection, tap RSVP again, and wait for the list to reload. |
| An alert appears after you choose | The reply could not be saved. Try again once you have a connection. |
| The pop-up did not open | You may have tapped the row instead of RSVP. If the call opened, leave it and tap RSVP on the row. |
| Your reply shows on one device but not another | Reopen Conferences on the other device so it reloads the list from the server. |
| The pop-up is cut off | Rotate the device — the card re-fits itself to the new screen size. |
| You replied to the wrong meeting | Tap RSVP on that meeting and set the correct answer, then reply to the one you meant. |
| Cancel seemed to change your status | It cannot. The list simply reloads and shows your existing answer. |
