Share Data

Review what has been shared with you, and manage your temporary and expired shares in one place.

The Share Data screen splits shared items into three tabs so you can see what others have sent you, what you are sharing for a limited time, and what has already run out. Received items open in their viewer so you can read the content; temporary and expired items open the sharing settings so you can adjust them. The screen shows anything held on the device first, then refreshes all three tabs from the server.

What each row shows

On Received, Agency tells you which organisation sent it and Navigation Title tells you where the content belongs in the app. On the other two tabs, Name is the first and last name of the person the item is shared with.

note

Dates use your Date Format from App Defaults. If you have not chosen one, they appear as yyyy-MM-dd. A temporary share with no end date set simply omits the End Date: line.

Getting Here

1. Open Share Data from its entry point in the app.
2. Any received shares already stored on the device appear immediately in the Received tab.
3. A loading indicator runs while all three tabs are refreshed from the server.

The screen opens on the tab it was last set to, and the three-dot button in the header is not used here.

Switch Between Tabs

1. Tap Received, Temporary or Expired at the top of the screen.
2. The active tab's title turns red and gains an underline beneath it.
3. You can also swipe the content left or right to move between tabs; the header follows the swipe.

Rotating the device keeps you on the same tab.

Open a Received Item

1. Go to the Received tab.
2. Tap a row.
3. The shared content opens in its viewer so you can read exactly what was sent.

If the content cannot be read	Message
The shared data is present but unreadable	A toast reads Unable to open
The row carries no usable data at all	A toast reads Data not valid

tip

The Navigation Title line tells you which part of the app the shared item belongs to, which is often enough to know what you are about to open before you tap it.

Edit a Temporary or Expired Share

1. Go to the Temporary or Expired tab.
2. Tap a row. The sharing popup opens in edit mode, already filled in with that item's details.
3. Change the sharing settings — for example who it is shared with, or when it ends — and confirm.

tip

Watch the End Date on a temporary share to know when it will move across to Expired. Editing an expired share is how you bring it back into use rather than starting a new share from scratch.

Loading, Empty and Error States

State	What you see
Loading	A loading indicator over the screen while the three tabs are fetched
Empty tab	The tab is simply blank — nothing is shared in that category
Server error	An alert showing the message the server returned
Session expired	You are signed out automatically and returned to sign-in
Request timed out	The app retries quietly twice, then shows the Connection Timeout alert

caution

If the request times out three times, an alert titled Connection Timeout appears reading "Unable to reach the server. Please try again." with CANCEL and TRY AGAIN. TRY AGAIN stays greyed out for the first five seconds. See Session Timeout.

note

Leaving the screen with the back arrow cancels any request still in flight and clears the loaded shared content from memory, so nothing half-loaded is left behind.

How This Connects

• Where the data comes from. The three tabs are fetched from the server each time the screen opens. Received shares that were stored on the device are shown first from local storage, so the Received tab is useful even before the refresh finishes.
• What updates it. Reopening the screen re-fetches everything. Editing a temporary or expired share updates it on the server, and the change appears the next time the list loads.
• Which other screens share this. Shares are created on the sharing side of the Server UI — see Server UI Share and Server UI Share Tab. Opening a received item hands you to the Server UI viewer described in Server UI Overview, and editing a temporary or expired share opens the same sharing popup used there.
• Timeouts are shared behaviour. The retry-twice-then-alert pattern is used across the app, so the alert you see here is the same one described in Session Timeout.
• Date formats. Share Time and End Date follow Date Format in App Defaults.
• Offline and reconnect. With no connection, the Received tab still lists the shares stored on the device, while Temporary and Expired stay empty because they are only ever fetched live. Reopening the screen once you are back online fills all three in.

Troubleshooting

If this happens	What to do
Temporary and Expired are empty but Received has rows	You are offline — only received shares are stored on the device. Reconnect and reopen the screen
A toast says "Unable to open"	The shared content could not be read. Ask the sender to share it again
A toast says "Data not valid"	The row has no usable content attached; it needs re-sharing from the source
"Connection Timeout" appears	Tap TRY AGAIN once it becomes available, or CANCEL and reopen the screen when you have a better signal
You were signed out while opening the screen	Your session expired. Sign in again and reopen Share Data
An alert shows a server message	Note the message, check your connection and try again; contact your administrator if it repeats
A share you expected is missing	Confirm you are in the right agency and ask the sender whether the share has expired — check the Expired tab
An end date looks wrong	Check Date Format in App Defaults; the date itself comes from the share
A temporary share disappeared from the tab	Its end date has passed and it has moved to Expired; tap it there to extend it
