Certifications
Track your qualifications and see what certifications your agency recognizes.
The Certifications module keeps your training and qualifications in one place. From a menu of options you can review your own certifications, your agency's own catalog, and the full system catalog, plus add a new certification record with dates, notes, and an attached file. Your personal certifications are grouped neatly so you can expand a group, then a subgroup, to see the individual entries.

Overview
The landing screen is a menu of three buttons, with a three-dot menu at the top right holding the add action.

Getting Here
- Open the Account tab and tap the Certifications module.
- The options screen appears with your module name as the header.
- Tap one of the three option buttons to open that list.
- Tap the Back arrow to return to the account grid.
Understanding Groups and Subgroups
Certifications are organized two levels deep, and the same shape is used on both My Certifications and All Certifications.

Group and subgroup names are not something you type — they come from the catalogs. When you record a certification, the app looks up which group and subgroup it belongs to and files it there for you.
- Tap a group row to expand it and reveal its subgroups. The arrow beside it points right when closed and down when open.
- Tap a subgroup row to expand it and show the individual certification entries inside.
- Tap the group row again to collapse it. Collapsing a group also closes all of its subgroups, so reopening it starts tidy.
- Tapping an individual certification row does nothing — these lists are for reading.
Browsing Your Certifications
- Tap My Certifications to open your grouped list.
- Expand a group, then a subgroup, to reach your entries.
- Groups are listed in the order your agency's catalog defines, not alphabetically.
- Each entry shows the following.

| State | The record's state, such as Active. |
If a certification does not match anything in the system or agency catalog, it is filed under Unknown Group and Unknown SubGroup, with the Custom Name you typed used as the certification name. That is how a one-off qualification your agency has not catalogued still gets recorded.
Adding a New Certification
- From the Certifications options screen or the My Certifications list, tap the three-dot menu at the top right.
- Choose New Certification. The form opens.
- Work down the form in order — the three dropdowns depend on one another.
- Tap Save when you are done.
Filling in the form

- Tap Select Group and choose a group. The subgroup and certification buttons reset to Select Subgroup and Select Certification.
- Tap Select Subgroup and choose one. The certification button resets.
- Tap Select Certification and choose one. Your agency's own certifications appear after the system ones in the same list.
- Tap Received and Expires and pick dates from the picker.
- Optionally tap the upload control, pick a file from your device, and the filename appears in the File field.
Messages you may see when saving
The app checks fields in order and stops at the first problem:

On success you see "Certificate submitted" and return to the previous screen.
When you already have that certification
If you already have a record for the same certification, the app does not create a duplicate. Instead it shows a prompt with the server's explanation followed by "Would you like to update the existing certification with the new information?"

If you tap Back with unsaved changes, the app asks "Data Updated — Do you want to save changes?" — Save runs the same checks and saves, Cancel discards your work.
Attaching a file means the file is uploaded before the certification is saved. If the upload fails, the whole save is abandoned and you will need to try again. On a weak connection, consider saving the certification without a file first and adding the file later.
Viewing Catalog and Agency Certifications
- Tap All Certifications to browse the complete system catalog. It uses the same expandable group-and-subgroup layout as My Certifications.
- Only active groups, subgroups, and certifications appear, each sorted in the order the catalog defines.
- Each catalog entry shows the certification name, its group and subgroup, a description, the issuing authority, and how many months it is valid for by default.
- Tap Org Certifications to see only the certifications your agency has defined itself, shown the same way.
- Use these lists to confirm the exact name and validity period of a certification before recording it for yourself. Tap Back to return to the options screen.
Check the default validity months on the catalog entry before filling in your Expires date. If your certificate does not show an expiry, adding that many months to the received date usually gives you the right answer.
Loading, Empty, and Offline States

How This Connects
- Where the data comes from. Three separate sources are stitched together. Your own certification records are saved on your device. The system catalog of groups, subgroups, and certifications comes down with your agency's reference data. Your agency's own catalog comes down with your agency record.
- What updates it. Saving on the New Certification form updates your records. The system catalog is maintained centrally. Your agency's own catalog is maintained by an agency administrator.
- How a record gets its group and subgroup. The app first tries to match your entry against the system catalog. If that fails it tries your agency's catalog. If neither matches, it falls back to Unknown Group with your Custom Name.
- Certifications feed the incident Certifications popup. What you record here is what shows up when command checks who is qualified for a task — see Command Certifications. Keeping your expiry dates current is what makes that screen trustworthy.
- They also show in the Directory. A member's qualifications appear on their Directory User Detail page.
- Attached files go to file storage. A scan or photo you attach is uploaded to your agency's file storage, and the certification record keeps the filename.
- Dates follow your settings. The received and expire dates use the format you chose in App Defaults, which is why they may look different from a colleague's device.
- Offline and reconnect. Reading is fully offline — your certifications and both catalogs come from copies on your device. Saving is not: the new-certification form needs a connection, both to upload any file and to check for an existing duplicate. Once you save while online, your new entry appears in the right group in My Certifications.
Troubleshooting

| Your certification is not in any dropdown | Type it in Custom Name instead. It will be filed under Unknown Group. |
| An entry shows under Unknown Group | The certification did not match either catalog. Ask an agency administrator to add it to your agency's catalog. |
| "Upload failed: …" appears | The file could not be uploaded, so nothing was saved. Try again on a stronger connection, or save without the file. |
| You were asked whether to update an existing certification | You already have a record for that certification. Yes replaces its details; No cancels. |
| A received or expire date is blank on an entry | The stored date could not be read. Record the certification again with the dates picked from the picker. |
| Dates are in an unfamiliar order | Change the date format in App Defaults. |
| A new certification is missing from My Certifications | Your records refresh when your account data next syncs. Go online, then reopen the list. |
| A certificate number is blank | The number comes from the catalog entry, not from something you type. Leave it and note the number in Notes if you need it. |
| Tapping an entry does nothing | These lists are read-only. To correct a record, add it again and choose Yes when asked to update the existing one. |
