Screen Lock (PIN)

Lock or unlock a form with a four-digit PIN so it cannot be changed by accident.

This screen protects a form with a four-digit PIN. When you lock a form you set the PIN; to unlock it later you re-enter that same PIN. Locking is what you want once a form is complete and signed, and the device is going to be handed around, mounted in a vehicle, or left on a tailgate where a stray thumb could change an answer.

Lock a form

Overview​

The screen is a small card with a PIN pad and one action button.

The button reads LOCK or UNLOCK depending on the form's current state, so the label tells you which way you are going before you type anything. The card shifts up the screen to stay clear of the keypad.

Getting Here​

  1. Open the Server UI form you want to lock or unlock.
  2. Tap the lock control on the form.
  3. The PIN screen opens with the keypad already up and the cursor in the PIN field.
  4. Read the button: LOCK means the form is currently open to edits, UNLOCK means it is protected.

Locking a Form​

  1. With the button reading LOCK, type a four-digit PIN. The digits are masked as you enter them.
  2. Tap LOCK. With fewer than four digits entered, the app answers "Please enter pin" and nothing changes.
  3. With four digits, the form is locked and its fields stop accepting edits.
  4. Remember the PIN you chose. You will need exactly those four digits to unlock the form again.

The PIN is remembered on this device for this form. Locking is protection against accidents and casual tampering on a shared device; it is not a substitute for your agency's account security or permissions. See Permissions Model.

Unlocking a Form​

  1. With the button reading UNLOCK, type the four-digit PIN that was set when the form was locked.
  2. Tap UNLOCK.
  3. If the digits do not match, the app shows "Please enter correct pin" and the form stays locked. Type again; there is no lockout for a wrong attempt.
  4. When the PIN matches, the form unlocks and becomes editable.
  5. To back out without changing the lock state either way, use the back button.

Lock a form once it is complete and signed, and agree the PIN with your crew rather than choosing something personal. A PIN nobody else on shift knows is a locked form nobody else can finish.

note

A locked form can still be read, shared, and printed. Locking stops edits; it does not hide the contents.

How This Connects​

  • What the lock protects. The form you opened it from, and only that one. Locking one form does not lock the rest of your agency's forms, and each locked form has its own PIN.
  • Where the PIN lives. On this device, against this form. That is what makes the lock quick and usable offline, and it is also why the PIN cannot be looked up for you from somewhere else.
  • What still works while locked. Reading the form, sharing it (see Share a Form), and producing paperwork from it via the PDF Generator. Editing, signing, and collapsing changes are what stop.
  • Which other parts of the app are related. Lock a form after the last signature is on it (see Signature Capture) and after you have set the layout you want on Edit & Collapse Sections. For the separate device-level screen protections, see Screen Saver and Timeout Popup.
  • Offline and reconnect. Locking and unlocking are entirely local and need no coverage at all. Saving the form's contents still does, so save before you lock. See Offline Mode.

Troubleshooting​

If this happensWhat to do
"Please enter pin" appearsYou entered fewer than four digits. Complete all four and tap the button again.
"Please enter correct pin" appearsThe digits do not match. Try again, and check with whoever locked the form.
You have forgotten the PINThere is no recovery from this screen. Ask whoever locked the form, and if nobody has it, contact your agency's REDENES administrator; the record itself is intact and still readable.
The button reads UNLOCK and you expected to lockThe form is already locked. Someone locked it earlier; you need their PIN to open it.
The form is read-only but there is no lock controlIt may be a reference screen rather than a locked form. See Server UI Overview.
You want to change the PINUnlock the form with the current PIN, then lock it again with the new one.
Fields still accept edits after lockingConfirm you tapped LOCK and got no message. Reopen the lock control and check whether the button now reads UNLOCK.
