Manage Members

View every member of your agency and manage their assignments and settings.

The Manage Members screen gives an agency administrator a full roster of the agency. Each member appears as a card with their initials in their own contact color, their name, device count, and state. Tapping a card opens a details popup with their full record, while the Assign and Settings buttons let you change a member's groups, rank, status, and device allowance, or jump into their per-member settings screens.

This screen is part of the Admin Tools and requires an agency administrator role. If you do not have admin access, you will not be able to reach it.

Overview​

Each member is a card with a colored circle of initials on the left, three lines of text, and two blue buttons stacked on the right.

Initials circleThe first letter of the first name plus the first letter of the last name, on a circle filled with that member's own contact color.
NameFirst, middle, and last name joined together, skipping any that are blank.
Devices:How many devices the member has.
Status:The member's state, capitalized — for example Active.
AssignOpens the assignment popup for that member.
SettingsOpens the per-member settings menu.

Tapping anywhere else on the card opens the member details popup.

Getting Here​

  1. Open the Account tab and tap the Settings module to reach Agency Settings.
  2. Expand the Overview section in the settings list and tap Members.
  3. The Manage Members screen opens with a card for each member after a brief spinner.
  4. Tap the Back arrow to return to the settings list.

Viewing a Member's Details​

  1. Tap anywhere on a member's card — but not on the Assign or Settings buttons.
  2. A popup titled Member Details slides up over a dimmed background.
  3. Read the fields you need. The list scrolls if it is longer than the popup.
  4. Tap the × button in the corner, or tap the dimmed area outside the popup, to close it.

Fields in the Member Details popup​

Status:The status label assigned to them.

Groups:Every group they belong to, comma separated. Shows a dash if none.
Device Count:How many devices they have.
Agency Paid Devices:How many agency-paid devices they are allowed.
Personal Paid Devices:How many personal paid devices they have.
Allow Personal Paid Devices:Yes or No.
Contact Color:The color code used for their initials.
Member Since:When they joined, in your preferred date format.
Last Seen:When they were last active, in your preferred date format.

Assigning a Member​

The Assign popup is where you set a member's groups, rank, status, and device allowance in one place.

  1. On a member's card, tap the Assign button.
  2. The popup opens with the header Assign : followed by the member's name, and loads their current assignments.
  3. Make your changes — see the table below.
  4. Tap Done to save, or Cancel to close without saving.

Controls in the Assign popup​

  1. Tap a group row to tick or untick it. The list shows every group, so you can add and remove in one visit.
  2. Tap Rank and pick from the list. Choosing None clears their rank.
  3. Tap Status and pick from the list. Choosing None clears their status.
  4. Tap the paid devices dropdown and pick a number.
  5. Tap the checkbox to allow or disallow a personal paid device.
  6. Tap Done. The popup closes; if the server refuses, an alert shows the reason and the popup stays open.
caution

Changes in the Assign popup take effect for that member across the whole app. Removing them from a message group stops them seeing those conversations; clearing their status changes how they appear in command personnel views. Confirm the name in the popup header before tapping Done.

Adjusting Member Settings​

The Settings button opens a small menu of five areas, each of which opens a full screen already focused on the member you picked.

  1. On a member's card, tap the Settings button.
  2. A popup appears with five choices.
  3. Tap the one you want. The popup closes and that screen opens for that member.
  4. Use Back on each screen to return to the roster.

The member's device list​

Opening Devices for a member shows the same device layout as your own Personal Profile → Devices, with two differences:

  1. The include watches checkbox is hidden, so only devices are listed.
  2. Each row offers Remove — unlinking the device from that member's account — rather than a remote logout.

Tapping Remove shows a prompt titled Are you sure? with the message "You want to remove this device". Tap Yes or No. If you are offline you get "You're offline. This action requires internet."

Changing a member's settings here affects that individual member's experience across the app, on every device they use. Confirm you have the right person before saving — the screens do not show the member's name once they are open.

The colored initials circle uses the member's own contact color, which makes it much easier to spot a specific person while scrolling a long roster. The same color appears beside their name in the Directory.

Loading and Empty States​

Manage Members keeps no offline copy — the roster and each Assign popup fetch fresh from the server. There is no queue, so every change here needs a live connection.

How This Connects​

  • Where the data comes from. The roster is fetched from your agency's server each time you open the screen, and the Assign popup makes its own request for that one member's current assignments and the lists of available groups, ranks, and statuses.
  • What updates it. Assignments and settings changed here; a member joining or leaving an open group from their own Personal Profile → Agency Info; new members arriving through Memberships; and the app itself, which updates last-seen times and device counts as people use it.
  • Three lists feed the Assign popup. The group checklist comes from Manage Groups, the Rank dropdown from Manage Ranks, and the Status dropdown from Manage Statuses. Add a rank there and it appears here.
  • What you set here shows up everywhere. A member's rank and status appear beside their name in the Directory and in command personnel views such as Command Resources and Command Unit Overview. Their groups decide which conversations they can see in Messaging and whether they are eligible for a poll on Voting Polls.
  • Members see their own copy. Everything in the details popup is what that person sees on their Personal Profile → Agency Info page, presented from their side.
  • The member count is on the agency card. The member count in the summary block of Agency Profile reflects this roster.
  • The per-member settings screens are shared. They are the same screens members reach themselves through App Settings, App Defaults, Push Notification Settings, and Mute All Notifications — just opened on someone else's behalf.
  • Device management overlaps. The device list here is the administrator's view of what a member sees on their own Personal Profile, and of the pairing tools in Devices List.
  • Dates follow your settings. Member Since and Last Seen use the date format you chose in App Defaults.
  • Offline and reconnect. Nothing is queued on this screen. Loading the roster, opening the Assign popup, saving assignments, and removing a device all need a live connection. Reopen the screen once you are back online.

Troubleshooting​

Tapping Done shows an errorThe server refused the change. Read the message, then try again — nothing was saved.
Tapping a card opened a popup you did not wantTap the ×, or tap outside the popup, to dismiss it.
The details popup is cut offIt scrolls. Swipe up inside it, or rotate the device to portrait for more room.
Groups: shows a dashThat member is in no groups. Use Assign to add some.
